Sharing both internally and externally is key

With Kim Document, it's quick and easy for anyone in an organization to take their existing MS Word documents and automate them. But once you have done this, then what? What are the options to collaborate one-to-one or one-to-many, both internally and externally?

There are five different ways in which you can share/collaborate when using Kim:

  1. Send by email - send a copy of the document to the counterparty by email, attaching any notes and other documents using the O365 integration.
  2. Share it – the counterparty can check the document out, make any amendments and check it back in, complete with version control. The user will receive an email with a link and access code allowing them to access Kim. Once in, they will only be able to view the record that has been shared with them. From here, they can download it, preview it or edit it. With sharing, there is complete version control, it's secure, and when the document is checked out, no one else can edit it.
  3. Send a link – send the counterparty an email containing a link to the web form. When the counterparty clicks on the link, they only see the web form and the required fields. As they run through and complete the web form, they can preview and save their progress as they go. Once the web form is completed and submitted, Kim generates the appropriate document with all the relevant information and sends an email with a copy of the data submitted for their records.
  4. Create a campaign – allows the user to send one-to-many, capture all the relevant information, and store the data in a centralized location for later use. It also includes a reminder email, as we know people aren't always as quick to respond as we would like.
  5. Publish Webform link – generate a web form link that you can put on your SharePoint or intranet to allow people to self-serve. Anyone can then hit the link, the web form pops up, and the person completes the information required. Organizations tend to use this for internal documents such as incident reporting, support requests and declarations.
